E-Invoicing and How It Comes in Handy

What exactly is an e-invoice and what are its benefits?

An e-invoice is a document issued in a structured electronic format, such as XML. This format is computer-readable, which allows information systems to automatically read, send, and process it without human intervention. Invoices in PDF, JPG, or HTML formats are not considered e-invoices according to this definition. These are merely visual formats that save on paper and postage but do not allow for process automation (data still needs to be manually transcribed).

The main advantage of using structured e-invoices (in XML format) is the full automation of the entire process—from preparation and sending to receiving and data processing—without manual entry. This brings exceptional efficiency to companies, as procedures are carried out faster, human errors are drastically reduced, and business costs can be lowered by more than 60%. In addition to direct financial savings, e-invoices ensure better traceability, data accessibility anywhere and anytime, and enable real-time reporting, which strengthens a company's reputation and facilitates business decision-making.

IMPORTANT: The National Assembly has passed a law making the exchange of e-invoices mandatory for all business entities in Slovenia as of 2028. After this date, paper-based operations will only be permitted for transactions with foreign entities and end consumers (B2C).

How can Apollo help me in this regard?

Apollo offers full support for issuing and receiving e-invoices in the prescribed structured format (XML), which complies with Slovenian standards (e-Slog).

Here are some key pieces of information on how this works within Apollo:

  • Sending e-invoices: Apollo allows you to send an e-invoice directly from the program. This is particularly important if you do business with companies that require the XML format. Exception: E-invoices for budget users (public sector) must be downloaded and sent via the UJP E-račun portal.

  • Automatic exchange: The program ensures that the invoice is converted into the appropriate structured format (XML) in the background and sent via an e-path provider, ensuring secure and verifiable delivery.

  • Archiving: E-invoices are securely stored in Apollo in accordance with electronic archiving legislation.

Since e-invoices will be mandatory for all business entities by 2028, using Apollo for your invoicing means you will be appropriately prepared for this change.
